How to connect orders, production, inventory, dispatch and site delivery in monday.com while keeping the ERP as the system of record.

To connect production, inventory, dispatch and construction-material delivery in monday.com, use one shared order identifier, connect sales, manufacturing and delivery boards, then synchronize quantities and states from the ERP or MRP. monday.com coordinates owners, dates, approvals and exceptions. The transactional platform retains official inventory and cost records.

Short answer: the value does not come from a board that copies the complete ERP. It comes from a visible thread between the customer promise, production revision, reserved material, truck load and proof of delivery, with one named person whenever that thread breaks.

This model is designed for manufacturers, suppliers and distributors of construction materials. It is especially useful when an order is tied to a project, a jobsite date and access conditions that change faster than master data.

Why context gets lost before delivery

One order passes through sales, procurement, the plant, the warehouse, dispatch and the jobsite. Each team sees a different part of reality.

Sales knows the promise and drawings received. Production knows capacity, sequence and missing components. The warehouse knows which batch is physically available. Dispatch knows the truck, route and receiving window. The site knows whether access or lifting equipment will be ready.

When changes remain in calls and emails, an order can look "Ready" in one tool while blocked in another. The operating system must propagate the exception and its impact without asking every department to maintain a manual copy of the same data.

A small business may not have all four systems. monday.com provides an official inventory template, manufacturing template and shipping template. They can support a simple operation. As inventory, batches, cost and transaction controls become critical, integration with the system of record is safer than parallel stock data.

The order-to-site process map

Order confirmation

The order retains its customer, project, jobsite address, contact, quantity, product, applicable revision, promised date and delivery conditions. The sales owner confirms the promise with the person controlling capacity.

A later change should not silently overwrite the previous version. It creates a change request with its impact on quantity, price, production and delivery.

Procurement and availability

The system checks the required components or products, available quantity, open supplier orders and expected receipt. monday.com can show synchronized values and assign exceptions.

A shortage becomes a decision record: substitute, ship partially, move a reservation or negotiate a new date. The owner, decision date and customer approval stay connected to the order.

Production and revision control

The work order links the quantity, bill of materials, approved revision, line, sequence and expected completion. Production updates real state, while transactions stay in the MRP where one exists.

Warehouse preparation and reservation

The warehouse confirms product, quantity, batch, condition, location and the order reserving it. Dispatch must see a reservation before it schedules the truck.

If two orders claim the same batch, the system should not choose silently. It creates an exception with the affected jobsite dates, impacts and customers, then assigns it to an authorized person.

Dispatch and site delivery

The delivery links the order number, loaded items, batches, truck, window, address, access restrictions, receiving contact and proof of delivery. A final load check occurs before departure.

A window moved by the site must flow back to production and the warehouse when it changes storage space, sequence or reservation. A shortage discovered during loading must reach sales before the truck reaches the customer.

The boards and relationships to build

A clear monday.com architecture can use four primary boards.

  • Orders: one item per customer order, with project, promise, coordination value and overall state.
  • Production: one item per work order or manufactured batch, connected to the order and approved revision.
  • Operating exceptions: one item per shortage, revision, defect, delay or priority conflict, with impact and decision.
  • Deliveries: one item per trip or site window, connected to the transported orders and batches.

Official inventory can remain in the ERP. Required columns are synchronized or queried when needed. Connect Boards and Mirror Columns bring together useful context without copying every detail.

Use a stable identifier for every order, batch and delivery. A name like "Tremblay Project" is readable but insufficient when the same client has several phases or orders. The identifier lets an integration find the right record even when the visible title changes.

The exceptions that need visibility

The normal flow needs little attention. The system earns its value when it manages deviations.

  • revision received after production release;
  • component shortage threatening the production date;
  • produced quantity different from ordered quantity;
  • reserved batch claimed by another order;
  • quality defect blocking part of the load;
  • changed jobsite address, contact or receiving window;
  • truck scheduled before preparation confirmation;
  • partial delivery without customer agreement;
  • missing proof of delivery or certificate.

Every exception carries the impact, options, decision owner, required date and outcome. A red status with no next action solves nothing.

Automations and AI agents

monday.com automations can assign an exception, notify a team, change a state or move an item based on a trigger and condition. Good uses are deterministic: when an order becomes "Ready," request the load check; when a component is short, notify procurement and the order owner.

An AI agent can prepare an at-risk order summary, classify a jobsite note or draft a customer message. It should cite the items reviewed and distinguish missing data from normal data. Price, product substitution, priority between customers and a new delivery promise remain human decisions.

The monday.com API and webhooks can connect custom systems. Define synchronization direction, frequency, failure behaviour and integration ownership before operations depend on the value.

Useful operating indicators

Measure what the team can explain and correct.

  • orders with a promised date at risk;
  • exceptions without an owner or decision date;
  • production released without an approved revision;
  • ready orders without a planned delivery;
  • planned deliveries without preparation confirmation;
  • partial deliveries awaiting agreement;
  • missing delivery proofs and certificates;
  • time an exception spends with each owner.

Do not publish an on-time-delivery rate if promised dates can be changed after the fact without history. Write the metric definition, source and owner before building the dashboard.

A limited, verifiable implementation

Choose one product flow and one warehouse. Map a real order from confirmation to proof of delivery. Record system changes, decisions, duplicate entry and every moment someone calls to verify information.

Then build the core fields, connect only required reference data and test several exception scenarios. The pilot is ready to extend when teams can answer quickly: which revision should be produced, which batch should be prepared, who decides the deviation and which date was confirmed to the site?
